Lists and to-dos

Your to-do list, the lists your agent keeps, and bringing in a spreadsheet.

On this page

Your to-do list on the Dashboard#

Your to-do list is the first thing on your agent's Dashboard, where you can tick something off or add one without asking your agent.

  • On your computer
  • From your phone
  • Since 0.3.3
Where it is
On the agent's Dashboard tab, the first card, with Add a to-do at the bottom.
How to use it
  1. Open your agent's Dashboard.
  2. Tick a to-do to mark it done, or type one in Add a to-do.
From your phone
Archie Mobile shows the same list first on the Dashboard, where you can tick to-dos off and add new ones.
Limits
  • Only on an agent with the Task Manager add-on. To-dos kept in Todoist or Google Tasks do not show here.
  • Something waiting on you, like a draft to send, sits above it.
  • A checklist your agent already posted in the chat updates only when your agent next touches the list.
  • Change a date or a priority by telling your agent, or in the list on the Knowledge tab.

Stages on a list#

A list can show its steps, like Quoted, Booked, Out and Picked up, with each entry's step in color and a count at each step.

  • On your computer
  • From your phone
  • Since 0.3.8
Where it is
On the Knowledge tab, under Lists, under Stages on the list's own form.
How to use it
  1. Open the list on the Knowledge tab, under Lists.
  2. Under Stages, pick the choice column that holds the steps.
  3. Or ask your agent to turn a list's steps on.
From your phone
Archie Mobile shows the count at each step under Lists, in the same colors, and on iPhone opens a list's entries to add or change them.
Limits
  • Nothing enforces the steps. An entry can skip one, and moving an entry starts nothing by itself.

Lists in the sidebar and on the Dashboard#

Keep up to six lists in your agent's sidebar, under Jobs, and each one shows on the Dashboard with its count and where its entries stand.

  • On your computer
  • From your phone
  • Since 0.3.8
Where it is
On the list, press Keep in the sidebar. Kept lists show in the sidebar after Jobs and as tiles on the Dashboard.
How to use it
  1. Open a list on the Knowledge tab, under Lists.
  2. Press Keep in the sidebar.
From your phone
Archie Mobile lists the kept lists after Jobs on More.
Limits
  • Up to six lists.
  • On Archie for Teams, keeping a shared list in one agent's sidebar puts it in nobody else's.

Lists made from what you tell your agent#

When you first set up your agent and say what work you do, it drafts up to three lists that work runs on, with their steps.

  • On your computer
  • Since 0.3.8
How to use it
  1. Answer your agent's first questions about your work.
Limits
  • It drafts lists only from what you said, and only when your work comes in rows.
  • It happens at the first questions. An agent set up earlier does not get lists by itself.
  • On the free credits and the plan with the AI included, nobody has yet seen it work on a real account.

Where you keep your work#

The last of your agent's first questions is where you keep your work today, with a button for each place, and its goodbye offers a way to bring in each of the first two.

  • On your computer
  • From your phone
  • Since 0.3.8
Where it is
Under the goodbye in your agent's chat: Add the spreadsheet, It's on another computer, Add the exported file, Add a photo of a page, Connect my calendar, or Connect Follow Up Boss.
How to use it
  1. Press each place you keep your work, then press That's all when you are done.
  2. Press the button under the goodbye and pick the file or photo.
  3. Press Send, then press Add on the card when the entries look right.
From your phone
In Archie Mobile, the file and photo buttons open the phone's file picker or camera. There is no calendar button there, and chat apps show no button.
Limits
  • It opens a picker. You choose and send the file, and nothing is added until you press a button on its card.
  • In your head, somewhere else, or a skipped answer gets no button, except a realtor's Tell me your open deals.
  • Other software means an exported file, unless you named Follow Up Boss.
  • Two ways in at most. A third place gets no button under the goodbye.

Bring in a spreadsheet someone emailed#

Say "bring in the spreadsheet Dana emailed", and your agent finds the email, opens the file, and puts its rows on a card for you to add.

  • On your computer
  • From your phone
  • Since 0.3.9
Where it is
In your agent's chat. When your work is in a spreadsheet, the goodbye of the first questions also has It's on another computer.
How to use it
  1. Ask your agent to bring in the spreadsheet somebody emailed you.
  2. Look over the rows on the card, then press its button to add them.
From your phone
Ask from Archie Mobile the same way, or press + and then Choose a file to send one yourself.
Limits
  • Only on an AI account of your own with your mail connected. Otherwise, Archie says how to save the file and send it in the chat.
  • Nothing reaches the other person, and nothing is added until you press a button.
  • It has not opened a file from a real mailbox yet.

Who owes you money#

Ask who owes you money, and your agent answers from entries on your lists marked billed and not paid, oldest first, with the days each has waited.

  • On your computer
  • From your phone
  • Since 0.3.8
Where it is
In your agent's chat.
How to use it
  1. Ask "Who owes me money?", "Who hasn't been billed yet?", or "Who still owes a deposit?"
From your phone
Ask from Archie Mobile or a chat app, and the answer arrives like any reply.
Limits
  • It reads your own lists. It does not connect to QuickBooks or any accounting app.
  • It knows what was written down: an entry counts as owed because its billing says Billed.
  • A deposit is read from a booking's stage and its Deposit column. Nothing records the money arriving.
  • It answers this way only when the question uses words like owe, unpaid, overdue, or invoice.

Fixing a save your agent claimed but never made#

If a reply says it put something on your lists and nothing was saved, Archie adds a line saying so, with Save it to save it now.

  • On your computer
  • From your phone
  • Since 0.3.8
Where it is
Under your agent's reply in Chat.
How to use it
  1. Press Save it, or Save to and the list's name, or reply "save it" where there is no button.
From your phone
The line is part of the reply, and Archie Mobile, Telegram, Slack, and Discord show Save it.
Limits
  • It catches certain words in a sentence about a list. A claim worded another way passes.
  • Only claims about lists are corrected. "I've updated your calendar" or a note about you gets no line.
  • No Save it button on Signal, iMessage, or Matrix.
  • Save it is a request: your agent saves on that turn, with the usual Undo.

A new list takes its first entries#

Ask for a new list and say what goes on it in the same message, and your agent makes the list and adds those entries in one reply.

  • On your computer
  • From your phone
  • Since 0.3.8
Where it is
In your agent's chat.
How to use it
  1. Ask for the list and name its first entries in one message.
From your phone
It works the same from Archie Mobile or a chat app.
Limits
  • Making a list is for the owner, or a teammate allowed to act as the owner.
  • This is about an agent's first list. An agent that already has a list could always add entries at once.

Who to call#

Ask your agent who to call, and Archie works it out from your People and Deals lists: birthdays, closing anniversaries, quiet leads, and past clients.

  • On your computer
  • From your phone
  • Since 0.3.8
Where it is
In your agent's chat.
How to use it
  1. Ask "Who should I call this week?" or "Which leads have gone quiet?"
From your phone
Ask from Archie Mobile or a chat app, and the answer arrives like any reply.
Limits
  • Only lists called People, Deals, Your leads, and Listings are read, which the real estate setup and Lead Desk make.
  • It knows what was written down. An empty Last contact means nobody wrote one, even if you did talk.
  • Only an email reply sent through Archie updates Last contact. Texts, calls, and other mail do not.
  • Someone marked Said stop is listed as call or email only. Nothing blocks a text to them.

Maybe already on a list#

When your agent adds someone, Archie looks on your lists for the same phone number, email, or name, and your agent says who it may be.

  • On your computer
  • From your phone
  • Since 0.3.8
Where it is
In your agent's chat, after it adds an entry.
From your phone
It works the same from Archie Mobile or a chat app.
Limits
  • It adds first and asks after. Nothing is merged or refused.
  • Only entries your agent adds one at a time are checked, not ones from the Lists screen, an import, or a card.
  • A shared last name is enough only when one of the two has no phone and no email.

Hear when a booking puts something in two places#

When a booking puts a trailer or a unit in two places on the same day, Archie saves it as asked and says which booking it runs into.

  • On your computer
  • Since 0.3.8
Where it is
On your agent's Knowledge tab, under Lists, the note after Added or Saved says it. A card's Add and the chat's import card say it too.
Limits
  • Nothing stops the booking. It is saved as you asked or typed it, and you decide which one changes.
  • Only lists shaped like the two rental setups are checked, by the day and never the hour. A tech sent to two jobs at once is not caught.
  • When your agent saves the booking itself, you hear about it only if its reply says so.
  • More than 200 entries added at once are not checked, and the note says to look over the busy days on the Calendar tab instead.

Bring a spreadsheet into a list#

Import a spreadsheet into one of your lists. Archie matches the columns, leaves out rows already there, and names every cell it could not read.

  • On your computer
  • Since 0.3.8
Where it is
On your agent's Knowledge tab, under Lists, open a list and press Import beside Add row. An empty list also says Have a spreadsheet of these already? Import it.
How to use it
  1. Open the list on your agent's Knowledge tab, under Lists.
  2. Press Import, then pick a file on this computer or a Google Sheet shared with your agent.
  3. Under Match your columns, give each column of the file a place on the list, Leave it out, or Add it as a new column.
  4. Read what will be added and what will be left out, then press Add, or Match while the box to keep it matched is checked.
  5. To take it all back, press Undo, here or on the job on the Jobs tab.
Limits
  • The box to keep the list matched to the file starts checked. Uncheck it and the list is a copy taken once. Archie never changes your file.
  • Taken as a copy, it adds and never updates. A row that repeats an entry is left out and never used to change it.
  • One tab, up to 5,000 rows and 20 MB. A Numbers file has to be saved as Excel or CSV first.
  • Dates are read month first, so 3/10/2026 meant as October 3 comes in as March 10.

Drop a spreadsheet in the chat#

Drop a spreadsheet into the chat and Archie puts up a card that names the list it fits and how many rows would come in.

  • On your computer
  • From your phone
  • Since 0.3.8
Where it is
In the chat with your agent, in Archie or on a chat app that shows buttons.
How to use it
  1. Drop a spreadsheet into the chat, with or without a few words.
  2. On the card, press Add, choose A different list, press Make a new list from it, or press Just keep the file.
  3. Look the rows over on the card that comes up below, change or uncheck any, then press Add.
From your phone
On Telegram, Slack or Discord, a spreadsheet you send gets the same card with its buttons.
Limits
  • Words that do more than hand the file over start an ordinary reply too, and your agent may open the file, which sends what it reads to your AI company.
  • Columns are matched by name only. The card names any column the list has no place for, and Make a new list keeps them all.
  • The first sheet only, up to 5,000 rows and 10 MB.
  • Sent through a chat app, the file passes through that app's servers on its way.

Check new entries on one card before Add#

Hand your agent a photo, a page, or your calendar, and every entry it finds for one of your lists goes on one card you check before anything is added.

  • On your computer
  • Since 0.3.8
Where it is
On the card in the chat with your agent. It also waits on the Jobs tab, in the Needs you column, with Approve and No thanks.
How to use it
  1. Send a photo or a page, paste a list, or ask your agent to go through your calendar for one of your lists.
  2. On the card, uncheck any entry to leave it off, or press Change to fix one.
  3. Press Add, or tell your agent yes. Pressing Not now leaves them all off.
  4. Undo on the card takes the whole card back off the list.
Limits
  • The entries are what the AI read, which can be wrong. The card is there so you check them.
  • Only entries on the card are held back. One more entry you tell your agent while it waits goes in at once.
  • Add needs the agent running. A card waits two weeks at most and goes away with New chat.
  • Reading a photo sends it to the AI company that reads pictures for your agent.

Bring a shared Google Sheet into a list#

Ask your agent to bring a Google Sheet you shared with it into one of your lists. The rows come in on a card you check first.

  • On your computer
  • Since 0.3.8
Where it is
Share the Sheet on your agent's Connections tab, under Email, calendar, files, in Google's own file picker.
How to use it
  1. On your agent's Connections tab, under Email, calendar, files, pick the Sheet in Google's file picker.
  2. Ask your agent to bring that sheet into one of your lists.
  3. Check the card, then press Add or say yes.
Limits
  • It is a copy taken when you ask, unless you press the button that offers to keep the list matched to the Sheet. Nothing is ever written to the Sheet.
  • Only a Sheet you picked, one tab at a time, up to 5,000 rows.
  • Columns are matched by their names, and the card cannot change the match.
  • It has not yet been run against a live Google account.

How far along a list is#

Tell Archie about how many a list will hold, and it shows how many are entered so far, such as 25 of about 300 units entered.

  • On your computer
  • From your phone
  • Since 0.3.8
Where it is
On the list's page, press the pencil to edit the list and fill in About how many in all, once everything is entered. Or tell your agent in the chat.
How to use it
  1. Open the list on your agent's Knowledge tab, under Lists.
  2. Press the pencil to edit the list.
  3. Fill in About how many in all, and save.
  4. Or tell your agent, for example "We run about 300 units."
From your phone
Archie Mobile's list tiles show the same count.
Limits
  • The number is yours. Nothing counts your units anywhere but the list.
  • It is read from your words, so "three hundred units" spelled out is missed. The list's form shows the number and changes it.

Fold a row listed twice into one#

When a unit number or another value meant to be on a list once shows up twice, the list says so, and Review keeps the row you pick.

  • On your computer
  • Since 0.3.8
Where it is
On the list's page, in the line Listed more than once under the column's name, with Review.
How to use it
  1. Open the list on your agent's Knowledge tab, under Lists.
  2. Press Review on the Listed more than once line.
  3. Press Keep this one on the row to keep.
  4. To put both rows back, press Undo on that job on the Jobs tab.
Limits
  • It happens only when you press it, and only in Archie on the computer.
  • Where both rows have a value, the kept row's wins. Only long notes are joined.
  • It finds a repeat only under a column meant to hold each value once, such as Unit number.

Ask about a unit by number#

Ask about unit 31 and your agent finds the row titled S-31, matching names like Trailer 4 or INV-1042 by their letters and numbers.

  • On your computer
  • Since 0.3.8
Limits
  • It only helps your agent find the row. Nothing stops it changing the wrong one.
  • It works on rows whose titles read like a code: three words at most, ending in a number. A date, a time or an amount never counts.

Keep a list matched to its spreadsheet#

Keep your own spreadsheet, and the list you brought in from it stays matched: Archie changes the list when you save the file, never changes your file, and asks before taking an entry off.

  • On your computer
  • From your phone
  • Since 0.3.11
Where it is
On your agent's Knowledge tab, under Lists, when you import a spreadsheet: the box Keep Units matched to units.xlsx, with your list's and file's names. The list's page then says what it matches.
How to use it
  1. Import a file on this computer, or a Google Sheet shared with your agent, into a list.
  2. Leave the box to keep it matched checked, and press Match.
  3. Save the file as you always do. The list changes to match.
  4. When entries are no longer in the file, press Take them off or Keep them on the list's page.
From your phone
On an iPhone, Archie Mobile shows a matched list and can take entries off with the same Undo. Matching is turned on at the computer.
Limits
  • Archie only reads the file. A file on this computer is looked at every minute while your agent runs; a Google Sheet every 15 minutes and before the morning list.
  • Nothing is checked while your agent is stopped or the computer running Archie is off.
  • Only Google Sheets you picked on the Connections tab, under Add files.
  • One tab of a workbook, up to 5,000 rows. A file over 20 MB is not read.

A late pickup, asked about once a day#

Archie asks you about a late pickup for a rental at most once a day in the same chat, unless you bring that rental up.

  • On your computer
  • Since 0.3.11
Where it is
In your chat with your agent, for rentals past their end date.
Limits
  • Only rentals past their end date whose stage says the units are still out.
  • One chat, and one day on the computer's clock.
  • It still says the rental is late. Only the question is not asked again.

Matching entries, added up in code#

When Archie looks up entries on one of your lists and two or more match, code adds up the number columns, like units and price. Your agent gets the totals, so it does not add them itself.

  • On your computer
  • Since 0.3.11
Where it is
In your agent's answers about your lists.
Limits
  • Only when every match is in the result, up to 200. A lookup that left some out is not added up.
  • Number columns only, judged by the column's name. An id, phone number, ZIP code, year, stop number, score or rate per unit is never added.
  • A total that some entries leave blank says how many entries it is from.
  • Your agent can still say another number, and the total is not on the Read line under the reply.

Units out, counted place by place#

When Archie looks up the units you have out, code counts them place by place against the rentals running there today. Your agent hears where your two lists agree, where they differ, and by how many.

  • On your computer
  • Since 0.3.11
Where it is
In your agent's answers about your units and rentals.
Limits
  • Only for a list of units with a place column and a dated list of rentals with a count and a place of its own. Trailers booked by name are not counted this way.
  • Places match by the words typed, so "Oak Hollow #12" and "Oak Hollow lot 12" are two places.
  • It compares counts, never unit numbers, and it does not say which list is right.
  • A teammate who sees only some rows does not get it.
