Where your information goes

What stays on this computer, what goes to your AI company and to us, and how to turn each off.

This guide is also in Archie: press Resources in the sidebar, then Guides. Where a step says this computer, it means the computer running Archie.

What stays on this computer#

Your agents, what they know about you, your conversations, files, notes and lists are kept in Archie's folder here. Keys you paste sit in this computer's password store (Keychain on a Mac, Credential Manager on Windows), where we have no way to read them; each goes only to its own company.

What goes to your AI company#

To answer you, your agent sends the AI company you connected your message, the recent conversation, what it knows about you, and what it read for you, such as an email, straight from this computer on your account. Web searches run on that company's servers.

Until you connect an AI account of your own, the AI is ours (the free trial's credits, or a plan with the AI included): each request passes through our server, which writes down what it cost, never what it said, keeps no copy, and sends it on to Anthropic. Your agent reads no email or texts on our AI. Connecting your own account stops this from your agent's next start.

What each AI company says about training#

As of August 2026, in their own terms:

  • Anthropic (Claude), OpenAI (ChatGPT) and Groq say what Archie sends them is not used for training.
  • Google (Gemini) and Mistral say the same of their paid tiers only. Their free tiers train on what you send.
  • xAI (Grok): we could not check its terms, so read them before you connect it.
  • DeepSeek's privacy policy says it trains on personal data and stores it in China.

Each policy is linked at https://otianai.com/trust/#providers

What Otian AI holds#

  • Your email address, and whether you have a current plan.
  • Which version of the Terms you agreed to, and when.
  • Your Archie version and edition, Mac or Windows, and when it last checked in: one record, rewritten at most every six hours.
  • Crash and error reports: where our code broke, the error line, and for an add-on, its name and failing tool. Never what you wrote.
  • On our AI, what each request cost, and a scrambled one-way stamp of the computer and internet address that claimed free credits.
  • Second-factor sign-in records, invoices for any guided session, and any refused checkout (the account, the country, the amount).
  • Your address on our weekly letter's list, and whether it is switched on.
  • With phone access on, the messages between your computer and phone, sealed with a key we never receive. Unsealed: when each was left, which version of Archie left it, whether it was picked up, and your phone's name from pairing.
  • How many times each add-on was added, but not by whom.

Our trust page keeps the current list: https://otianai.com/trust/#what-we-hold

How long: your phone deletes each message once it reads it; your computer clears any it never came back for a day after the answer, the next time Archie runs. The rest are in the privacy policy: https://otianai.com/privacy-policy/#data-retention

Chat apps and your phone#

In Telegram, Discord, Slack, or Matrix, what your agent says crosses that company's servers like any message there. iMessage (on a Mac only; Windows has none) is encrypted end to end by Apple. Archie Mobile, our phone app, locks each message with a key only your computer and phone hold, so we hold those messages and cannot read them. Phone access is off until you turn it on.

How to turn each one off#

Settings and Account are at the bottom of the left sidebar.

  • An account or app: on your agent's Connections tab, under Email, calendar, files, or under Apps, press the trash can beside it. Its sign-in or key stays in Settings, under Saved keys, until you remove it there.
  • A chat app: remove its token in Settings, under Saved keys. Your agent still answers in the Archie window.
  • Your AI company: change it on your agent's Setup tab, under AI account.
  • Crash and error reports and the version check-in: in Settings, under Privacy, turn off Send crash reports.
  • Your phone, or a lost one: on your agent's Setup tab, under Chat app, press Archie Mobile, then Disconnect every phone. That empties the sealed mailbox too.
  • This computer: on the Account page, under Resetting Archie, press Reset Archie, then type reset. Your agents and saved keys are erased and every phone disconnected; Open Archie at login and waking this computer for routines stay.
  • Your Otian AI account, or the weekly letter: sign in at https://otianai.com/account/

A step that no longer matches your screen? The other company may have changed its site since we last checked. Tell us which step and we will fix the guide in Archie and here.
