Set up what your agent does
Connecting your email and calendar
Connect Gmail or Outlook, get a work account approved, and fix one that has stopped working.
This guide is also in Archie: press Resources in the sidebar, then Guides. Where a step says this computer, it means the computer running Archie.
On this page
Archie works with Gmail and Outlook (Outlook.com, Hotmail, Live, or a workplace's Office 365 account). Your calendar comes from the same account, so connecting once covers both.
What it reads, and how to switch it off#
- What it reads: when you ask about your mail, the messages your question is about. If you add Email Manager or Package Tracker and press Start reading my mail when your agent asks, it also reads new mail in your inbox every few minutes, skipping newsletters, promotions, and mail from no-reply addresses before the AI sees them.
- Where it goes: from this computer straight to the AI company on your own AI account, the way everything it thinks about does. On our AI (free credits, or a plan with the AI included) it reads none of your mail, so none of it reaches our server.
- What it never does: delete your mail, or send an email you have not approved. It sends one only after you approve its draft, and only if you checked Let it send replies.
- To switch it off: on this agent's Connections tab, under Email, calendar, files, press the trash can on its row. Your mail stays where it is, and your agent stops reading it.
Connect an email account#
- In the left sidebar, click your agent's name, then Connections under it, then Email, calendar, files.
- Click Connect an account.
- Check the boxes for what your agent may do; each is explained on screen, and only what you check is asked for. Whatever you check, it never deletes mail, and it always asks before changing a calendar event.
- Click Sign in with Google for Gmail, or Sign in with Microsoft for Outlook.
- In the browser that opens, sign in as the address you want Archie to read (any other address connects instead), and accept the permissions it lists.
- Back in Archie, the account appears as a row with your address on it.
Work account needs admin approval#
Some workplaces don't let people approve outside apps. Then Microsoft's sign-in page says “Need admin approval” and has no Accept button, and nothing on this computer can change that. Send whoever runs your workplace's Microsoft accounts either of these:
- Turn on “Allow user consent for apps”: in the Microsoft Entra admin center at entra.microsoft.com, under Enterprise applications, then Consent and permissions, then User consent settings. Each person then approves Archie for their own mailbox.
- Or grant admin consent once, for everybody: in the same admin center, under Enterprise applications, open the app named Archie, from Otian AI, id 4e7ff117-4f18-44e9-92ed-0e8507ba69ca, then Permissions, and press Grant admin consent.
Meanwhile, a personal Outlook.com, Hotmail or Live address connects with nobody's approval.
Add Email Manager and Calendar Manager#
Connecting gives permission; the abilities come from add-ons. For email, click Marketplace at the bottom of the left sidebar, type email into the search box at the top, press Email Manager, and press Add on what opens. For the calendar, add Calendar Manager the same way.
Giving your agent more access#
Go to Connections, then Email, calendar, files. If your account could do more, a line under its row says so, beside a Reconnect button. Press Reconnect, check the extra permission, and sign in again as the same address.
If an account stops working#
Sign-ins expire, and workplaces can withdraw them. Your agent then says the account was refused, and names the address.
- Go to Connections, then Email, calendar, files, and find the row with that address.
- Reconnect button there? Press it and sign in again as the same address.
- No Reconnect button? Click Remove on that row and connect the account again as above. Removing loses no email; it only stops your agent reading it.
- If the browser says an administrator has to approve Archie, see Work account needs admin approval, above.
A step that no longer matches your screen? The other company may have changed its site since we last checked. Tell us which step and we will fix the guide in Archie and here.
